- We collect the minimum information required to operate educational services and run our platform.
- We treat children's data with heightened protections and require parental consent when lawfully required.
- We do not sell personal data; Institutions control institutional account data under their agreement with Zen-Tech.
1. Who we are
Zen-Tech provides cloud-based educational software, administrative tools, learning management, assessments, attendance and analytics to educational institutions. Our solutions are designed to support teaching, learning, governance and administrative workflows.
2. Information we collect
We collect information that is necessary to deliver and improve our services. Collected categories commonly include:
- Account & profile: names, role (student/teacher/parent/admin), email, phone, profile photo, institution and class/section.
- Student records: enrollment details, attendance, grades, assessments, individualized education information where provided by Institutions.
- Payment and billing: invoices, billing contacts and payment tokens (we do not store full card PANs).
- Usage & diagnostics: IP address, device and browser metadata, login timestamps and feature usage logs.
- Communications & content: messages, uploaded assignments, documents and support requests.
3. Children’s data & parental consent
Because Institutions we serve include minors, we apply additional safeguards:
- Institutions must obtain lawful parental or guardian consent where the applicable law requires it prior to providing student data to us.
- We will not use children’s personal data for targeted advertising.
- Where required by law, we support verified parental consent workflows and cooperate with Institutions to facilitate compliance.
4. How we use information
We use personal data to:
- Provide, maintain and improve the platform and services (classrooms, assessments, reports).
- Authenticate and manage user accounts, roles and permissions.
- Process payments, subscriptions and invoices.
- Provide support, notify users about changes and respond to requests.
- Detect, investigate and prevent security incidents, fraud and abuse.

- Institutions: account owners and admins who manage their institution data.

- Business transactions: in merger, sale or asset transfer scenarios with appropriate safeguards.
7. Third-party services & integrations
Our platform integrates with third-party tools (video conferencing, content providers, payment gateways). These services have their own privacy practices — review their policies before enabling integrations. We are not responsible for third-party practices once authorized by you or your Institution.

We retain data only as long as necessary to provide services, comply with law, resolve disputes and enforce agreements. Institutions controlling accounts may request exports or deletion in accordance with their agreement and applicable law.

We implement technical and organizational safeguards such as TLS for data in transit, encryption at rest where appropriate, role-based access controls, logging and periodic security assessments. While we strive to protect data, no system is perfectly secure; in the event of a breach we will follow applicable notification obligations.
11. International data transfers
Operating globally may require cross-border transfers. Where transfers occur we adopt legal safeguards (e.g., standard contractual clauses) or other mechanisms required by law to protect personal data.
12. Your rights
Depending on jurisdiction, data subjects may have rights such as access, correction, deletion, restriction of processing, objection and portability. To exercise rights, contact the privacy team below. Institutions may also manage many user settings via their admin consoles.
13. Marketing & communications
We send administrative messages and, where opted in, product updates and promotional communications. You may opt-out of marketing communications using the unsubscribe mechanism in messages or by contacting our privacy team.
14. Controller vs. processor
In many cases Institutions that upload or enter student/staff data are the data controller, and Zen-Tech acts as a processor providing the platform. Details vary by agreement — contact us for specifics about your account.
15. Automated decision-making
We may provide automated features (e.g., basic recommendations or automated scoring tools). Where legally required we provide explanations and human review options; we strive to ensure fairness and accuracy in automated processing.
16. Compliance & audits
We comply with applicable data protection laws and maintain reasonable security controls. Institutions can request compliance information consistent with contractual and security constraints.
